Windows 10 Calendar: Create & Sync Events - Guide

Setting Up the Windows 10 Calendar App
The Windows 10 Calendar application is a contemporary, universal application designed for seamless integration with Mail and other native Windows 10 programs.
For users seeking a centralized location within Windows 10 to organize their schedules – encompassing daily, weekly, and monthly views – the following instructions detail the setup process for the Calendar app.
Initial Configuration
Upon first launch, the Calendar app will prompt you to connect your accounts. This allows synchronization of events and appointments.
Supported account types generally include Microsoft Exchange, Outlook.com, Google Calendar, and iCloud. Adding these accounts ensures a unified scheduling experience.
Adding Calendar Accounts
To manually add a calendar account, navigate to the app’s settings. This is typically accessed via the gear icon.
Select “Add Account” and choose the appropriate account provider from the list. You will then be guided through the authentication process.
Managing Multiple Calendars
The Windows 10 Calendar app allows for the management of multiple calendars simultaneously.
- Each connected account will typically display as a separate calendar.
- You can toggle the visibility of individual calendars to declutter your view.
- Calendars can also be color-coded for easy identification.
Customizing Calendar Views
The app offers various viewing options to suit your preferences.
These include day, week, month, and year views. Switching between these perspectives provides different levels of detail and overview.
Creating and Editing Events
Adding a new event is straightforward. Simply select a time slot on the calendar or use the “New Event” button.
Event details, such as title, location, start and end times, and reminders, can be easily customized. Existing events can be edited in a similar manner.
Reminders are a crucial feature, ensuring you don't miss important appointments.
Integrating and Configuring Your Accounts
The Calendar application offers synchronization capabilities with various online services, including Google Calendar, Outlook, and iCloud. Notably, a connection exists between the Calendar and Mail applications; therefore, accounts already configured within Mail will automatically be recognized by Calendar. Should this not occur, manual account addition within the Calendar app is readily available.
A diverse array of account types are supported by Calendar: Outlook.com (as the default), Exchange, Office 365 for business use, Google Calendar, and Apple’s iCloud. To initiate the addition of an account, navigate to the bottom-left corner of your screen and select the “Settings” icon, represented by a cogwheel.
A sidebar will then appear on the right side of the screen. Within this sidebar, click on “Manage Accounts” and subsequently the “+ Add account” option.

The “Choose an Account” window will be displayed. Similar to the Mail application, this window provides access to a wide selection of popular calendar services. Select the desired account type and adhere to the provided on-screen instructions.
Upon successful configuration, you will be directly integrated into the calendar associated with that account.

Should you wish to disable the display of calendars from a specific account, this can be easily accomplished. Access the “Settings” menu by clicking the cogwheel icon in the bottom-left corner of the screen.
Within the “Manage Accounts” pane, select the account you intend to modify and then click “Change mailbox sync settings.”

Scroll down to the “Sync Options” section and toggle the “Calendar” option to the off position. If you encounter synchronization issues with the calendar server, click “Advanced mailbox settings” to manually configure the server details.

Navigating Calendar Views
The Calendar application features a clean and straightforward user interface. This interface is logically organized into distinct sections for optimal usability.
The left-hand side of Calendar presents a consolidated overview of your configured calendars. The pane can be minimized by selecting the “hamburger menu” icon. A condensed calendar is also consistently visible on the left, enabling quick navigation to dates in the past or future.
The primary area on the right side of Calendar displays the various date-oriented views. A toolbar located at the top allows users to toggle between different perspectives, including Day, Work Week, Week, and Month views.
These views can be selected directly by clicking on their respective labels, or via keyboard shortcuts such as “Ctrl + Alt + 1”, “Ctrl + Alt + 2”, and subsequent numbers. Arrow keys facilitate navigation; left/right move between days, while up/down move between hours.
Understanding the Different Views
The “Day” view incorporates a dropdown menu, allowing customization of the number of Day columns displayed simultaneously. The “Work Week” view presents a conventional Monday-to-Friday schedule in a list format.
“Week” view provides a comprehensive 24-hour display for each of the seven days. Conversely, the “Month” view offers a broad overview of the entire month, with the current date clearly indicated.
Scheduling Events and Appointments
A new event can be directly input into your calendar by selecting the desired time slot or date on the calendar view. This action will initiate a small panel for creating a new calendar entry for that specific date. Begin by providing a descriptive name for your event.
Next, specify the start and end times for the event. Should the event span the entire day – such as a birthday or anniversary – ensure the “All Day” checkbox is selected. The location and associated calendar account should also be designated.
Quick Event Creation
This method represents a streamlined approach to adding calendar entries, often fulfilling the majority of scheduling needs. It’s a fast and efficient way to manage your time.
Creating Detailed Events
Alternatively, you can initiate event creation by clicking “New Event” located in the top-left corner of the screen. This will open a larger window offering expanded options.
Event Details and Options
- You can define both the start and end dates, along with their corresponding times.
- The “Show As” field allows you to indicate your availability as Free, Tentative, Busy, or Out of Office.
- Adjust the “Reminder” settings, choosing increments ranging from None to one week prior to the event.
- Mark the event as Private by activating the padlock icon.
- A detailed Event Description and Location can be added for clarity.
To include attendees, simply select the designated text field and begin typing names. Contacts from your People app will populate as suggestions. Selecting a contact will add them to the event.
Invitations can also be extended by directly entering email addresses. Once all details are finalized, click “Save and Close,” or if attendees have been invited, select “Send.”
Managing Events: Viewing, Editing, and Deletion
The Calendar application, by default, displays event names and scheduled times in its primary interface. Hovering the mouse cursor over a specific event will trigger a pop-up window.
This window provides supplementary information, such as the event’s title, designated location, commencement date, and start time. Selecting “More Details” will transition the event to a dedicated “Details” view.
Editing Existing Events
Upon accessing the event in “Details” view, comprehensive editing capabilities are available. Modifications can be made to all event parameters as needed.
Once all desired changes have been implemented, click “Save and Close” to finalize the edits and return to the main calendar view.
Deleting Events and Appointments
To remove an event or appointment, first open it within the Calendar application. Then, click the “Delete” button, which is located at the top of the toolbar.
If the event includes invited participants, the option “Cancel meeting” should be selected instead of “Delete”. A brief message can be composed and then sent to notify attendees.
- Type a concise message explaining the cancellation.
- Click “Send” to distribute the cancellation notice.
The Calendar app offers a straightforward process for adding events and appointments. All entries created within the Calendar app are synchronized across your Windows 10, Android, and iOS devices.
This synchronization is contingent upon having linked the appropriate accounts on each of those devices. Therefore, consistent access to your schedule is maintained across all platforms.
