SugarSync Review: Free File Backup & Syncing

The Importance of File Backup and a Look at SugarSync
The concept of file backup is certainly not novel. A simple search on Google for “file backup” reveals a substantial number of services and informational resources dedicated to the subject.
This represents a significant market with numerous options available to users. However, within this crowded landscape, only a select few providers consistently demonstrate superior performance.
Many popular solutions are well-known, including Dropbox, Google Drive, and SkyDrive. Other contenders like Mozy and SpiderOak also maintain a presence.
Why SugarSync Stands Out
Despite the strengths of these alternatives, SugarSync consistently emerges as a leading choice. While no single service achieves absolute perfection, SugarSync comes remarkably close to offering a comprehensive solution.
Its distinction lies in the subtle enhancements and meticulous attention to detail it provides. Furthermore, the fundamental approach of SugarSync differs significantly from its competitors.
Let's examine the features that make SugarSync a particularly compelling option for data protection – a rather sweet deal, if you will.
A Review: The Benefits of Utilizing SugarSync
SugarSync functions as a file synchronization solution, enabling seamless data transfer. Its core functionality centers around synchronizing files from your computer to the cloud, and subsequently to your various devices. This means access to your data is readily available on smartphones, tablets, or any other computer you utilize, whether for professional or personal endeavors.
A key advantage of SugarSync lies in its granular control over file access. Users can selectively choose which folders are synchronized to specific devices. This allows for the segregation of work and personal files, or accommodates devices with limited storage capacity. For instance, work-related files from a computer can be synced to a designated “work folder” on a personal machine, while personal files remain isolated, or are selectively synced to a work computer.
To me, this adaptability is the primary reason to choose SugarSync. Beyond the essential need for file backups, the software integrates seamlessly with existing workflows, requiring no disruptive changes to established practices. If the importance of cloud backups isn't apparent, consider the following experience.
Several years ago, I was in the process of applying for an internship in Alaska. While working remotely, my laptop began exhibiting technical difficulties. Despite these issues, I managed to prepare all necessary application materials – resume, cover letter, recommendations – for submission via email.
The problem stemmed from a failing battery and the absence of my power adapter, necessitating a return home to complete the application. Upon arriving home and plugging in the laptop, it failed to power on. The laptop’s power input had malfunctioned. My immediate concern wasn’t the cause, but rather how to transmit my application materials. A broken power input threatened to derail my internship opportunity.
Fortunately, I was able to access my SugarSync account on my father’s computer. I was hopeful that the most recent versions of my files had been successfully synchronized to the cloud. Upon downloading and opening them, I was relieved to find that they had been!
I promptly uploaded the files, submitted my application before the deadline, and ultimately secured the internship – a success directly attributable to SugarSync’s real-time update capabilities. As long as files are consistently saved, SugarSync continuously synchronizes them.
Furthermore, SugarSync effectively replaces the need for physical flash drives. I personally experienced this benefit when I lost my flash drive. However, my schoolwork remained accessible, as I could simply log into SugarSync on any computer and retrieve my files, download them for printing or editing, and then re-upload the updated versions.
Distinguishing Itself: SugarSync’s Distinctive Capabilities
Having previously examined the competitive landscape of cloud storage solutions, I assert that SugarSync surpasses them all. Let me now demonstrate how and why this is the case. The preceding account of my file recovery experience could easily be replicated by anyone who consistently backs up data to the cloud. However, SugarSync streamlines the process of consistent backups.
Backup and Synchronize Any Folder
SugarSync, in its own description, “functions in alignment with your workflow,” and currently stands as the sole service to do so. Few other platforms offer the ability to synchronize any folder while simultaneously providing a comprehensive suite of features, including expandable storage options. Adding folders to SugarSync can be achieved in a couple of ways.
One method involves right-clicking a folder and selecting “Add Folder to SugarSync.”

However, I find the alternative approach, utilizing the SugarSync File Manager, to be considerably more efficient.

Selecting “Add Sync Folders” opens a window displaying commonly used folders. SugarSync’s design facilitates easy addition of these folders, as they typically contain frequently accessed files. In the illustration provided, the “Pictures” and “Documents” folders are absent because they are already synchronized to my account. This proved invaluable when my computer was unavailable for repair, as all my folders had been previously synced to SugarSync.

Furthermore, you can add additional folders by clicking “Add More Folders,” allowing you to navigate your “C:\ drive” and select any desired folders.

Magic Briefcase Functionality
The core concept of Magic Briefcase isn’t novel; it closely mirrors the functionality of Dropbox, Google Drive, SkyDrive, and Box. However, the combination of this feature with SugarSync’s ability to synchronize any folder on your computer is a significant advantage. This elevates it above competing services. Essentially, it provides a Dropbox-like experience directly within SugarSync – albeit under a different name.
Therefore, if you are considering trying SugarSync, rest assured that this feature is included, along with many others. The key distinction between a “one folder sync” system and an “any folder sync” system lies in the elimination of manual file movement or copying. Previously, I implemented a similar system using another program to synchronize files between Dropbox (or another sync/backup application) and my local folders, but this meant updates occurred only when the program ran. Even with daily execution of that method, my files would not have been synchronized when my computer failed.
File Upload via Email
While Dropbox offers this capability through third-party plugins, SugarSync, alongside Box, is the only service providing it natively. Upon creating your SugarSync account, you receive a unique email address exclusively for your use (avoid sharing this address). Adding it to your email contacts allows you to easily send files. This can be particularly useful in work environments where software installation is restricted, enabling you to attach files and include your SugarSync email in the Bcc field when sending to others.

Integrated Local File Manager

This aspect of SugarSync is frequently underestimated. While other programs offer “file managers,” SugarSync’s implementation is demonstrably superior. Its ease of use is a key benefit, with essential functions readily accessible and a clean, uncluttered interface.
Extensive Platform Support
Some users may not consider this a “feature,” but the ability to utilize the program across nearly all platforms and devices sets it apart. The primary limitation is the lack of support for Linux, a decision whose rationale remains unclear. However, there is significant demand for Linux compatibility, and hopefully, SugarSync will expand its platform support in the future.
Currently, it is compatible with a wide range of devices: Windows, Mac, iOS (iPhone and iPad), BlackBerry, Windows Phone, Android (including Kindle Fire), and Symbian. Additionally, a mobile website is available for devices without dedicated app support, and an Outlook plugin enhances integration. A browser plugin for Gmail and other webmail clients would be a welcome addition.

It’s also important for developers to note that SugarSync provides an open API, enabling integration with third-party applications.
Generous Free Storage Allocation
Similar to “Extensive Platform Support,” storage capacity isn’t necessarily a direct feature, but it significantly influences the decision-making process when selecting a file backup and synchronization application. Often, a program with superior features may be overlooked if it offers less storage space. Fortunately, SugarSync not only boasts exceptional features but also provides a referral system for earning additional storage and a storage capacity that exceeds many competitors.
Beyond the extra storage options, SugarSync offers 5GB of initial storage, compared to Dropbox’s 2GB. Google Drive also provides 5GB, and SkyDrive offers 7GB, but when combined with SugarSync’s other features, 5GB is a very competitive offering.
To be precise, I am uncertain if SugarSync currently imposes a cap on its free storage. I haven’t located any definitive information, but I know they haven’t historically, with some users reportedly earning up to 200GB of free storage. However, the Features Comparison page indicates “Up To 32GB,” so clarification on this point would be appreciated. Regardless, with 32GB, SugarSync remains the only service of its kind to offer such a substantial amount of free storage. The emphasis here is on “free.” Paid plans are available for 100GB and more, but other services typically limit free storage to a much lower amount. SkyDrive is a potential contender, but only for users with existing accounts created before the policy change; new users receive only 7GB of free storage.
Several methods exist to obtain additional free storage. You can refer friends via email, Facebook, or Twitter, or utilize a custom referral link. Another option is to sign up through a referral link – a tip I wish I had known earlier. Contact a SugarSync user and discreetly inquire if they would be willing to send you a referral link. They likely desire the extra space as well. How much storage do you receive for referrals? 500MB per user upon free account creation. Naturally, referring someone who upgrades to a paid account yields significantly more free storage.
Completing the “Getting Started” guide is another avenue for earning free storage. This not only provides additional space but also familiarizes you with SugarSync’s features. As illustrated below, I have completed all but one step – setting up the SugarSync mobile app, which I will address upon acquiring a smartphone.
