Securing Your Notes in OneNote 2016 with Passwords
OneNote 2016 provides a robust platform for note-taking, organization, and synchronization. Protecting sensitive data within your notebooks is crucial, and fortunately, OneNote offers a password protection feature to ensure privacy.
Password Protecting Notebook Sections
It’s important to understand that OneNote allows password protection at the section level, not the entire notebook. However, by securing every section within a notebook, you effectively safeguard the whole collection of notes.
Important Note: While the free version of OneNote included with Windows 10 permits viewing password-protected sections, it doesn't allow you to *apply* passwords. You must utilize the full OneNote 2016 desktop application, available via the "Windows Desktop" link on the relevant page.
How to Password Protect a Section
Begin by opening the notebook that contains the section you wish to secure. Then, right-click on the specific section tab. From the context menu that appears, select "Password Protect This Section." This action automatically activates the selected section, preparing it for protection.
The Password Protection pane will then appear on the right side of the OneNote window. Confirm that the correct section is highlighted, and proceed by clicking "Set Password."
A Password Protection dialog box will be displayed. Enter your desired password in both provided fields to confirm accuracy, and then click "OK."
Upon applying a password, the section isn't immediately locked. To lock all password-protected sections, click the "Lock All" button. By default, sections will automatically lock after five minutes of inactivity. This timeframe is customizable, as detailed later.
When a section is locked, a notification will appear on the section tab indicating its password-protected status. Clicking the section page or pressing Enter will prompt you to unlock it.
To unlock, enter your password in the Protected Section dialog box and click "OK."
Managing Passwords: Changing and Removing
To modify the password for a section, select the corresponding tab and click "Change Password" within the Password Protection pane.
Enter your current password in the first field, and then input your new password in the subsequent two fields. Finally, click "OK."
If you no longer require password protection for a section, you can remove it. Select the section tab, and then click "Remove Password" on the Password Protection pane.
A Remove Password dialog box will appear. Enter the existing password for that section and click "OK."
Advanced Password Options
The Password Protection pane provides helpful tips. For more granular control, click the "Password Options" link at the bottom of the pane.
This opens the Advanced screen within the OneNote Options dialog box. Scroll down to the Passwords section. Here, you can adjust the automatic lock timer for password-protected sections. Select a different duration from the drop-down menu associated with the "Lock password protected sections after I have not worked in them for the following amount of time" checkbox.
Alternatively, you can choose to have password-protected sections lock immediately when you switch to a different section tab by checking the "Lock password protected sections as soon as I navigate away from them" box.
After configuring your preferences, click "OK" to save the changes and close the OneNote Options dialog box.
To close the Password Protection pane when finished, click the "X" in the upper-right corner. You can reopen it at any time by right-clicking a section tab and selecting "Password Protect This Section."
Accessing Protected Sections on Other Devices
OneNote’s strength lies in its cross-platform accessibility. You can access your password-protected sections on iOS and Android devices by simply tapping the section tab.
Enter your password and tap "Unlock" in the upper-right corner of the screen.
Important Reminder: Password application is only possible through the desktop version of OneNote 2016 for Windows or Mac. The mobile apps do not support password creation.
