OneDrive Offline Access: Sync Files for Use Anywhere

A significant advantage of utilizing OneDrive within Windows 8.1 is its intelligent handling of large file collections. Even with a substantial amount of data – up to a terabyte – stored in the cloud, OneDrive doesn't automatically download everything to each of your devices.
Files are downloaded as needed, offering a streamlined experience. However, a user might desire to download all files simultaneously. This can be achieved through specific settings.
Managing Individual File Availability
You have the ability to control the availability of individual files and folders. Right-clicking on any item within your OneDrive allows you to select whether it should be available offline or exist as an online-only file.
Choosing online-only removes the local copy, conserving disk space while maintaining access to the file in the cloud.
Setting Default Synchronization Behavior
To modify the default behavior for all OneDrive files, access the OneDrive settings. This is done by right-clicking the OneDrive icon in the system tray and selecting "Settings".
Downloading All Files for Offline Access
Within the settings menu, you can check the box labeled "Make all files available even when this PC isn't connected to the Internet".
Selecting this option initiates a complete download of all OneDrive files. Furthermore, any new files added to OneDrive from any device will also be automatically downloaded to this PC.
Conserving Disk Space with Online-Only Files
Conversely, if your OneDrive contains a large volume of data that isn't frequently needed offline, you can free up local storage space.
Clicking the "Make all files online-only" button removes all files from your local system, making them accessible solely through an internet connection.
This is a useful option for devices with limited storage capacity.
