Utilizing Google Cloud Print requires three essential elements.
- A valid Google Account is necessary.
- A printer that is natively Cloud Print-enabled, or a computer running the Chrome browser with a connection to your printer, is required.
- A device capable of printing through Cloud Print – such as an Android phone, iOS device, laptop, or tablet – must be available.
Your Google Account and the Cloud Print servers function as the central connection point. The specific configuration will vary based on your individual setup.
If you possess a modern printer that supports Cloud Print directly (a compatibility list can be found here), a computer acting as a print server is not needed.
However, if your printer isn't Cloud Print-enabled, a computer must remain powered on and connected to the printer whenever you intend to print. Consider configuring a consistently running home server for this purpose.
The last piece of the puzzle is the device from which you want to initiate printing to your Cloud Printer. These devices are often mobile, as desktop computers are typically already set up for traditional printing methods.
Configuring Your Printers for Use
Initially, the primary task involves bringing your physical printer online and integrating it into your Cloud Print network.
Should you possess a printer already compatible with Cloud Print, the recommended approach to configuration is consulting its user manual—specifically looking for a section detailing Cloud Print setup. The process should be straightforward, typically involving connecting a few settings within your printer’s configuration panel.
For printers not natively Cloud Print-enabled, a few additional steps, though relatively simple, are required. These steps necessitate a computer that is both powered on and capable of printing to the desired printer, alongside having Google Chrome installed.
Before proceeding, it is strongly advised to remove any outdated or unused printers from the Devices and Printers menu on your computer.
For instance, we identified several inactive printers previously installed in our home office environment. Leaving these unremoved will result in unnecessary clutter within your Google Cloud Print account.
The next step is to activate Google Cloud Print within your Google Chrome browser. This enables Chrome to function as a print server, relaying documents to printers accessible to the computer where it’s enabled.
Access the Settings menu by clicking the Menu button located in the upper-right corner of the Chrome interface. Scroll down within the Settings menu and select "Show Advanced Options". Then, scroll until you locate the "Google Cloud Print" option.
If you aren't currently logged into your Google Account within Chrome, the button will prompt you to "Sign in to Google Cloud Print". If already signed in, the button will display "Add printers". Sign in if needed, and then click "Add printers"; also, verify that "Continue running background apps..." is checked under the System section to maintain an active Cloud Printer server even when Chrome isn't in active use.
Upon clicking "Add printers", a confirmation screen will appear, noting that this step isn't strictly necessary for utilizing the Cloud Printer service. This is accurate, as Cloud Printer can be used solely for printing PDF files directly to your Google Account—a valuable feature, but not our current focus. Our aim is to produce physical prints from your printer.
Proceed by clicking the blue "Add printer(s)" button. This action automatically adds all printers connected to your computer to your Google Cloud Print account. It’s crucial to perform this step on only one computer with access to your printers to avoid duplicate entries in your account.

Two aspects of the screenshot are noteworthy: the "Share" button and the "Owned by me" designation next to each printer we added. Cloud Print simplifies printer sharing with others as easily as sharing documents in Google Docs. Instead of complex network configurations, you can grant permission for a friend’s Google Cloud Print account to access your printer.
Printers shared with you will appear here, but will be identified as "Owned by [Friend's Name Here]".
How to Utilize Your Cloud Printers
With your printers now enabled for cloud functionality, the primary task becomes transferring documents from your devices to those printers.
The process is remarkably streamlined when printing from any Google application. Whether you are utilizing Google Drive on an Android device, Gmail on iOS, or accessing Google Docs through a web browser, direct printing to the Google Cloud Print service is possible.
For instance, consider the following example demonstrating the transmission of a daughter’s chore checklist from Google Drive, via an Android phone, to a printer located upstairs – all without requiring additional software or complex configurations:
The procedure involves opening the document, selecting the menu icon in the upper right corner, choosing "Print", then selecting the desired printer. Finally, review the print settings before initiating the print job.
By the time the printout was collected, it was already available in the printer’s output tray.
For printing outside of Google applications or Google Chrome with account synchronization enabled, a supporting application is necessary. Helper applications are available for Android, iOS, Windows, and macOS.
These applications extend printing capabilities beyond Chrome/Google Apps to encompass any application capable of printing on the system, or function as a mobile print platform for opening and sending documents to the Cloud Printer.
