Download & Back Up Your Google Data - Gmail & More

The Increasing Reliance on Cloud Data Storage
Contemporary digital life is characterized by an ever-growing volume of data entrusted to cloud-based services. Essential information, encompassing email communications, contact details, documents, photographic images, and scheduling appointments, is routinely hosted on platforms like Google’s infrastructure.
However, the accessibility afforded by cloud storage is accompanied by inherent risks. Service interruptions, as well as instances of governmental action – such as the US government’s seizure of Megaupload – demonstrate the potential for data loss when relying solely on third-party servers.
The Critical Role of Local Backups
Recent occurrences have underscored the necessity of maintaining local data backups. While Google provides mechanisms for retrieving data from its services to personal computers, these same procedures can be utilized by individuals seeking to transition away from Google due to privacy-related apprehensions.
Establishing a robust backup strategy is therefore paramount. It ensures continued access to vital information, irrespective of external service availability or policy changes.
Strategies for Data Backup and Control
- Regular Backups: Implement a schedule for consistent data backups to a local storage device.
- Multiple Backup Locations: Consider utilizing more than one backup location for redundancy.
- Data Export Tools: Familiarize yourself with the data export tools offered by cloud providers.
- Privacy Considerations: Evaluate the privacy implications of cloud storage and explore alternatives if necessary.
By proactively managing data backups, users can mitigate the risks associated with cloud dependency and maintain greater control over their digital assets.
Ultimately, a balanced approach – leveraging the convenience of cloud storage while simultaneously maintaining local backups – represents the most prudent strategy for safeguarding valuable data.
Google Takeout
Google Takeout is a service that allows users to archive their data from various Google applications. As previously discussed within our directory, the tool aims to consolidate all user data into a downloadable file.
While not yet fully comprehensive, the functionality of Google Takeout is continually being enhanced. Recent updates have included the addition of support for exporting data from Google Docs.

The process of downloading data is streamlined; a few simple clicks are all that’s required. Users can retrieve photos from their Picasa Web Albums, documents and files originating from Google Docs, and contacts stored within Gmail.
Furthermore, information from Google+ can also be downloaded. Google handles the compilation and packaging of this data into a single, convenient ZIP file.
The service offers flexibility, allowing users to initiate the download process and then close their browser window. Google will then notify the user via email when the archive is prepared for download.

Ideally, this would represent a complete data backup solution. However, certain data types still require manual backup procedures.
Specifically, users must independently back up their Gmail emails and calendar events, alongside any other information not currently supported by the automated Takeout process.
Gmail
Downloading emails from Gmail presents unique challenges compared to other Google services. While files from other platforms can be directly downloaded, Gmail necessitates an email client supporting the IMAP protocol. Mozilla Thunderbird serves as a suitable application for this purpose. Alternatively, Gmail Backup, previously discussed, offers another solution.
Initially, access your Gmail settings and navigate to the Forwarding and POP/IMAP section. Confirm that IMAP is enabled. It’s also crucial to disable folder size limits to ensure Thunderbird can access all of your Gmail messages.

Following this, launch Thunderbird and integrate your Gmail account. The application will automatically identify and configure the necessary settings for Gmail, eliminating the need for manual input.

Because IMAP isn’t designed for comprehensive backups, Thunderbird doesn’t automatically download all emails and their attachments. However, we can modify internal settings within Thunderbird’s Configuration Editor to transform it into a robust IMAP backup tool.

First, change the preference “mail.server.default.mime_parts_on_demand” to False. This ensures that all email attachments are downloaded. If the preference isn't visible, it can be created by right-clicking within the window and selecting to create a new boolean preference.

Second, establish a boolean preference named “mail.check_all_imap_folders_for_new” and assign it the value true. Without this setting, Thunderbird will not download messages from folders beyond your inbox unless each label is individually selected.
Third, set “mail.imap.use_status_for_biff” to false. This forces Thunderbird to consistently check each label for new incoming messages.
Finally, verify that “mail.server.default.autosync_offline_stores” is set to true. Otherwise, Thunderbird may postpone email downloads until offline mode is activated.
These adjustments may seem extensive, but once all four settings are configured, clicking Get Mail will initiate the automatic download and storage of all your emails and attachments. The duration of this process will depend on the volume of your email data.

Thunderbird continuously updates your local backup whenever it is opened. Should you decide to transition to a different email provider, you can add another IMAP account to Thunderbird and transfer your Gmail emails by simply dragging and dropping them.
Google Chat History
Google Talk conversation histories are integrated with your email and are saved within your Gmail account. However, these logs are not immediately visible when accessed through Thunderbird.
Fortunately, it is possible to archive your chat logs alongside your email using Thunderbird. This ensures a complete backup of your communication data.
Enabling Chat Log Synchronization
To facilitate this, navigate to the settings within Gmail. Select the Labels section.
Within the Labels tab, locate the Chats label and activate the Show in IMAP checkbox.
- This action will synchronize your chat logs with the IMAP server.
- Subsequently, Thunderbird will be able to download and display these conversations.
By enabling IMAP access for the Chats label, you ensure that your complete communication history is preserved and accessible within Thunderbird.
Google Calendar
Downloading calendars from Google Calendar is a straightforward process. Simply locate and click the arrow positioned adjacent to My Calendars within the Google Calendar sidebar.
Following this, select the Export Calendars link displayed on the subsequent page.
Downloading Your Calendars
It's important to note that calendars which have been shared with you cannot be downloaded using the primary export link.
To download a calendar that has been shared, a different method is required.
Downloading Shared Calendars
Begin by clicking the arrow next to the specific calendar’s name you wish to download.
From the options presented, choose Calendar Settings.
Within the Calendar Settings, locate and click the iCal button to initiate the download of the shared calendar.
Important: This iCal button is the designated method for obtaining shared calendar files.
Data Export Options from Google
Regardless of your feelings towards Google, they provide straightforward methods for retrieving your data from their cloud services. This contrasts with platforms like Facebook, where data extraction often necessitates more complex procedures.
Should you require data download instructions for a Google service not detailed in this article, the Google Data Liberation Front page is an excellent resource. It offers comprehensive guides for nearly all data types linked to your Google account.
